Event Media Usage and Consent Policy

This Event Media Usage and Consent Policy outlines the procedures and guidelines for the capture, publication, and management of media, including photographs and videos, taken at events organized by the Association of Poland Kannadigaru. The policy ensures compliance with privacy laws while respecting the preferences and rights of individuals featured in event-related media.

This annex explains the process for individuals to revoke their consent or request the removal of media from the Association of Poland Kannadigaru’s promotional materials, website, or official platforms.

 

1. Revoking Consent

 

1.1 Consent Withdrawal Request: Individuals wishing to revoke their consent for media usage must submit a written request to the Association. The request should specify the media in question, including event details such as name, date, and any identifying information related to the media.

 

1.2 Contact Information: The request should include the individual’s full name and contact information (email address, phone number, and mailing address) to facilitate processing.

2. Media Removal Request

 

2.1 Removal Request: To request the removal of specific media, individuals must submit a written request clearly identifying the media to be removed, including relevant event details (such as event name and date).

 

2.2 Contact Information: The request should include the individual’s full name and contact details to facilitate processing.

 

2.3 Submission Method: Media removal requests should be submitted via email to polandkannadigaru@gmail.com

 

3. Processing and Response

 

3.1 Confirmation of Receipt: Upon receiving a media removal or consent withdrawal request, the Association will acknowledge receipt by contacting the individual using the provided contact information.

 

3.2 Verification and Processing: The Association will review and verify the request, ensuring the accuracy of the information provided.

 

3.3 Removal and Notification: If the request is validated, the Association will take reasonable steps to remove the specified media and notify the individual of the action taken.

Annex: Process for Revoking Consent and Requesting Media Removal

1. Implicit Consent for Media Capture

1.1 Consent Acknowledgment: By attending events organized by the Association of Poland Kannadigaru, participants acknowledge that photos and videos may be captured during the event for documentation, promotion, and archival purposes.

1.2 Implicit Consent: Attendance at events is considered as implicit consent for media capture, meaning that individuals understand and agree that their image or likeness may be used in the Association's promotional content, including the official website, social media channels, and other related platforms.

2. Consent Process

2.1 Additional Usage Consent: While attending events provides implicit consent for media capture, we recognize that some individuals may have concerns about the use of their images beyond standard documentation or promotion. For such cases, explicit consent will be sought for any additional usage, such as print media or third-party platforms, either through written consent or by allowing individuals to indicate their preferences during registration or event participation.

2.2 Withdrawal of Consent: Individuals who have previously granted implicit or explicit consent can withdraw it at any time. The Association of Poland Kannadigaru will offer a simple process for individuals to revoke consent and request removal of their media from any promotional materials or official platforms.

3. Media Publication and Usage

3.1 Authorized Usage: Event-related media will only be used for the purposes clearly stated in the consent process or as implied through attendance at events. Usage will be limited to the Association's official promotional materials and communication channels, including its website and social media accounts (such as Facebook, Instagram, YouTube etc.).

3.2 Responsible Handling: The Association will take reasonable precautions to store and manage event-related media securely. Only authorized personnel responsible for managing our platforms and materials will have access to this media to prevent unauthorized use or disclosure.

3.3 Sensitive Information: The Association of Poland Kannadigaru will exercise care to ensure that no sensitive personal details, such as addresses or contact information, are included in publicly shared media. Any personal information associated with media will be handled following the Association’s Privacy Policy.

4. Complaints and Removal Requests

4.1 Complaint Process: The Association will provide a clear process for addressing concerns or complaints related to the use of event-related media. Individuals who believe their media has been used without proper consent or wish to withdraw their consent can contact the Association through a designated channel outlined in this policy.
